Important Note:  TEA is alerting the Education Service Centers of a change that may affect districts participating in the 2009-2010 Optional Extended Year Program.  The original OEYP Resubmission due date of October 7, 2010, is being changed to September 30, 2010, to allow time for required processing prior to opening the 2010-2011 fall collection cycle on October 11, 2010.

PEIMS data files are submitted four times each school year following a schedule established by the PEIMS Data Standards: 

 

Fall/Collection 1 

Fall data include:

  • Snapshot data - data reflect the status of the district on Oct. 30, 2009. These data include budget, staff, organization and student data
  • Leaver data - data on graduates, dropouts and other school leavers identified during the 2008-2009 school year

Fall data are used to:

  • Calculate compensatory entitlement
  • Monitor special programs
  • Report to the federal government
  • Calculate retention
  • Calculate basic profiles for AEIS
  • perform desk audits

Important Fall Dates:

  • 09/25/2009 -- Close of school-start window
  • 10/12/2009 -- EDIT+ ready to process data
  • 10/30/2009 -- Snapshot date
  • 11/02/2009 -- EDIT+ ready for ESCs to accept district and ESC files
  • 11/12/2009 -- Manual PID corrections due at TEA
  • 12/03/2009 -- First submission due date for District and ESC
  • 12/21/2009 --  Manual PID corrections due at TEA
  • 01/21/2010 -- Resubmission due data for District and ESC
  • 02/25/2010 -- Data available to customers

Midyear/Collection 2

 Midyear data include:

  • Actual audited financial data from the previous year (2008-2009)

Midyear data are used to:

  • Report to the state legislature
  • Monitor special program expenditures
  • Audit districts
  • Perform desk audits

Important Midyear Dates:

  • 10/12/2009 -- EDIT+ ready to process data
  • 01/04/2010 -- EDIT+ ready for ESCs to accept district and ESC files
  • 01/28/2010 -- First submission due date for District and ESC
  • 02/18/2010 -- Resubmission due date for District and ESC
  • 03/11/2010 -- Data available to customers

Summer/Collection 3

Summer data include:

  • Student attendance data
  • Course completion data
  • Discipline data
  • Restraint data
  • Title I, Part A data

Summer data are used to:

  • Calculate FSP final allotments
  • Calculate attendance and course completion
  • Create a portion of the AEIS
  • Augment the monitoring of special programs
  • Perform desk audits

Important Summer Dates Month and Year Day Activity:

  • 04/12/2010 -- EDIT+ ready to process data
  • 05/10/2010 -- EDIT+ ready for ESCs to accept District files
  • 06/03/2010 -- Manual PID corrections due at TEA
  • 06/24/2010 -- First submission due date for Districts
  • 07/01/2010 -- Manual PID corrections due at TEA
  • 07/15/2010 -- Resubmission due date for Districts*
  • 09/23/2010 -- Data available to customers

*Districts registered with TEA with year-round tracks ending later than June 24 may delay resubmission until two weeks following completion of the latest year-round track or August 26, 2010, whichever comes first. However, the initial data delivery for submission 3 must still be made by June 24, 2010, for all districts. In no case will any resubmission be processed after August 26, 2010. Corrections made beyond August 26, 2010 will be handled by State Funding.

Extended/Collection 4

Extended year data include:

  • Optional extended year program (OEYP) data
  • Extended school year services (ESY) data
  • Bilingual/ESL summer school program

Extended year data are used to:

  • Calculate ESY funding
  • Calculate BIL/ESL summer school funding
  • Monitor special programs
  • Perform desk audits

Important Extended Year Dates:

  • 04/12/2010 -- EDIT+ ready to process data
  • 08/09/2010 -- EDIT+ ready for ESCs to accept district files
  • 08/26/2010 -- Manual PID corrections due at TEA
  • 09/09/2010 -- First submission due date for Districts
  • 09/23/2010 -- Manual PID corrections due at TEA
  • 10/07/2010 -- Resubmission due date for Districts (changed to 09/30/2010)
  • 10/28/2010 --  Data available to customers
