Errors can be created when districts attempt to add or update student PID records. In addition, with each PEIMS data submission districts receive diagnostic reports of PID errors. A PET/PID error is reported if enough of the identifying information for an individual matches an existing PID record to suggest that this is the same individual, but one or more required elements do not match. For example, a record submitted with the same Social Security number but different last name from a record in the PID file would produce a PET/PID error. A PID error list can be reported on a PET/PID Statement of Discrepancy or a PID Statement of Attendance Discrepancies.
PET/PID errors fall into three areas:
- Those that should be corrected in the district's student information system.
Each discrepancy listed should be verified by checking against the SSN/Birth Certificate in the student's record for each line labeled "PET" in the first data element called "Source". Should this information be incorrect, the information should be corrected in the district's student information system prior to the next PET submission.
- Those that should be corrected in the PID database.
The PID database should only be corrected if the district has the documentation to support the correction. For the demographics (name, sex, and date of birth) the student's birth record should be consulted. For correction of the student ID, consult the student's Social Security card or state assigned number.
- Those that must be sent to TEA for correction.
Any conflict between SSN/State ID numbers that cannot be resolved at the district level should be forwarded with copies of the appropriate documentation to TEA. Any update to a PID record that involves changes to more than one major demographic should be forwarded with copies of the appropriate documentation to TEA. If a student is erroneously entered into the PID database more than once and the demographics on one of the records needs to be corrected, the record cannot be updated in the district. It should be forwarded with copies of the appropriate documentation to TEA.
TEA cannot delete or merge records. When a student is in PID more than once, we can only correct demographics to match what the district is submitting after verifying that the information is correct. On the discrepancy page for this type of error,the top line is always the data being submitted by the district and the other two lines will be that information which already exists in PID.
